Privacy Policy

This policy explains what personal information Dentician handles, why we use it and the choices and rights available to you.

Effective and last updated: 27 September 2026

1. Who we are

Dentician Ltd (“Dentician”, “we”) provides independent remote dental equipment triage, technical support and engineering liaison services in the UK. For the personal information described in this policy, Dentician Ltd is the data controller.

Questions, rights requests and data protection complaints can be sent to info@dentician.com.

2. Information we collect

Depending on how you contact or work with us, we may collect:

  • your name, email address and telephone or WhatsApp number;
  • the name of your dental practice, company or organisation;
  • information you provide about an equipment fault, service request or other enquiry, including photographs or videos you choose to share;
  • records of correspondence, calls, advice and agreed next steps;
  • contractual, billing and transaction information where you engage us to provide paid services; and
  • technical information produced when you access the website, such as IP address, browser type, device information and security or request logs held by our hosting provider.

Please do not send patient names, clinical records or other patient information. Equipment enquiries should be anonymised before they are shared with us.

3. How we receive information

We receive information directly from you when you email, call, use WhatsApp, complete the website contact form or engage our services. The website contact form sends your enquiry to Dentician through our transactional email provider; the form contents are not stored in a Dentician website database.

When you request a downloadable resource, we collect the email address you enter and a record of the resource requested. The resource opens on the website after the request is recorded; it is not sent by email. When an email address requests a resource for the first time, the Dentician team receives an internal email notification showing that address and the resource requested. We use this information to fulfil your request, understand use of our professional resources and prevent misuse. Requesting a resource does not add you to a marketing mailing list, and we do not use these notifications to send you marketing.

We may also receive relevant business contact or equipment information from your employer, practice, service provider or another person acting with your authority.

4. How and why we use information

We use personal information where necessary to:

  • respond to enquiries and take steps requested before entering into a contract;
  • provide, manage and document our services under a contract;
  • pursue our legitimate interests in operating, securing and improving Dentician, communicating with business contacts, preventing misuse and establishing or defending legal claims;
  • comply with legal, regulatory, tax, accounting and professional obligations; and
  • use information for another purpose where you have given specific consent, which you may withdraw at any time.

We do not use personal information for solely automated decisions that produce legal or similarly significant effects. The website does not operate a marketing mailing list.

5. Who we share information with

We may share information only where reasonably necessary with:

  • hosting, email, communications, IT, accounting and business-support providers acting for us, including Cloudflare (website hosting, security and analytics) and Resend (transactional email);
  • engineers, manufacturers, suppliers or service providers where this is needed to progress your request and is appropriate in the circumstances;
  • professional advisers, insurers and auditors; and
  • courts, regulators, public authorities or law-enforcement bodies where disclosure is required or permitted by law.

We do not sell personal information.

6. Website hosting and external services

The website is hosted using Cloudflare. Cloudflare may process technical request and security information to deliver and protect the website.

We use Cloudflare Web Analytics to understand, in aggregate, how many people visit the website and how quickly pages load. It does not use cookies or browser storage and does not identify individual visitors.

The website forms are protected by Cloudflare Turnstile, which checks technical signals from your browser to tell people from automated spam. It does not use cookies for advertising or tracking.

Contact-form messages and notifications of new resource requests are delivered to us by Resend, our transactional email provider, which may process them in the United States.

If you choose to contact us through WhatsApp or visit a social-media link, that provider will process information under its own privacy terms. Dentician does not control those third-party services.

7. International transfers

Some technology and communications providers may process information outside the UK. Where UK data protection law requires safeguards for an international transfer, we expect the relevant provider or contractual arrangement to use an approved safeguard, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum. Contact us if you would like more information about safeguards relevant to your information.

8. How long we keep information

  • General enquiries that do not become a client relationship are normally kept for up to 24 months after the last meaningful contact.
  • Resource-download records, including the supplied email address, are deleted automatically 24 months after the latest request. The related notification emails are normally deleted from our inbox within the same period.
  • Client, service, contractual and billing records are normally kept for up to six years after the end of the relationship, or longer where a legal obligation or live dispute requires it.
  • Technical and security logs are retained according to the applicable provider’s security and operational retention periods.

We may delete information sooner when it is no longer needed and may retain it longer where required by law or necessary for a legal claim.

9. Security

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss. No email, messaging service or internet transmission can be guaranteed completely secure, so please share only information that is necessary for the enquiry.

10. Your data protection rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your personal information, receive certain information in a portable format, and object to processing.

You have the right to object where we rely on legitimate interests. You also have an absolute right to object to direct marketing, although Dentician does not currently operate a marketing mailing list.

To exercise a right, email info@dentician.com. We may need to verify your identity and some rights are subject to legal exemptions.

11. Complaints and updates

Please contact us first if you have a concern so we can investigate it. You may also complain to the Information Commissioner’s Office through its website at ico.org.uk/make-a-complaint.

We may update this policy when our services, providers or legal obligations change. The date at the top shows the current version.
